How to make a transparent signature PNG from paper

A signature saved as a transparent PNG can sit on a contract, a letter or a form without a white box around it. Making one from a signature on paper takes a photo, a background remover that understands flat backgrounds, and a minute of checking. Because a signature is something that can be misused, it is worth doing on your own device rather than on a server.

1. Sign in a way that scans well

• Pen: a black or dark blue gel pen or fine felt-tip. The stroke is solid, which separates cleanly from the paper. Ballpoint ink is lighter and skips, which leaves gaps.
• Paper: plain white printer paper. Lined paper works, but blank paper is less to remove.
• Size: sign a little larger than usual, around 6 to 10 cm wide. Scaling a large signature down looks better than scaling a small one up.
• Several tries: sign three or four times on the same sheet, far apart, and keep the best.

2. Photograph or scan it

A flatbed scanner at 300 dpi gives the most even result. A phone works well too:

1. Put the paper on a flat surface near a window, out of direct sunlight.
2. Hold the phone parallel to the paper so the signature is not skewed, and make sure neither your hand nor the phone casts a shadow.
3. Fill most of the frame with the paper, and leave a margin of paper around the signature on every side.
4. Turn off any filter. HEIC photos from an iPhone are fine; the remover reads them directly.

Uneven light is the most common problem. A shadow across one corner means the background is no longer a single colour, which makes it harder to separate.

3. Remove the paper

1. Open Remove Image Background.
2. In Cutout model, choose Flat colour, for logos and signatures. It needs no download.
3. Drop, paste or choose the photo. The result appears in a second or two.

Flat colour works differently from the photo models. It reads the paper’s colour from the outer frame of the image, measures how far every pixel is from it, and sets the dividing line above faint marks that belong to the paper, such as ruled lines, grain or a watermark, and below the ink. Pixels on the edge of a stroke, which are partly ink and partly paper, become partly transparent, and the paper’s colour is taken back out of them. That is what keeps the signature smooth on any background instead of leaving a pale outline.

If the paper is not even enough, for example because of a strong shadow, the tool says so and suggests Best edges. Retaking the photo in better light is usually the better fix.

4. Check and tidy it

On the Background tab, set a dark colour for a moment. Any leftover specks of paper or pencil marks show clearly against it. Then:

• Use Erase on the Edges tab to remove a stray mark, a crossed-out attempt or a speck of dust.
• Use the Size tab and choose Crop to the subject so the image is just the signature with a small margin; the Subject fills slider sets how much.
• Set the background back to Transparent.

5. Save it

On the Size tab, choose PNG under Save as and download. PNG keeps the transparency exactly. Do not save a signature as JPG, which has no transparency and would put it back on a white box.

Keep the file somewhere private, and do not leave copies in shared folders or email drafts.

Using the signature

On a PDF. Open Sign PDF, add the document, and place the PNG where the signature goes. The PDF is processed in your browser as well.

On an exam or job application. Many Indian recruitment and exam portals ask for a signature image of a fixed size and file size, often on a white background rather than a transparent one. Set Background to Studio white, download, and open the exam photo and signature resizer, which has the common portal limits built in.

In a word processor or email footer. Insert the PNG as an image. If it looks too dark or heavy, scale it down rather than editing its colours.

If the result is not clean

• Grey haze around the ink. The photo was probably taken in dim light, so the paper is not far enough from the ink in colour. Retake it near a window, or increase the contrast in your phone’s editor before adding it, without applying a filter.
• Broken or faint strokes. Light ballpoint ink sits close to the paper colour, and parts of it fall on the paper side of the split. A darker pen fixes this; the Restore brush can fill a short gap.
• A dark corner remains. A shadow or the edge of a desk in the frame is not paper. Crop the photo in your phone’s gallery so only paper surrounds the signature, then add it again.
• The signature looks jagged when enlarged. The photo was too small. Photograph it closer, so the signature spans most of the frame’s width.

A note on what a signature image is

An image of your handwritten signature is useful for everyday letters and forms. It is not the same as a certificate-based digital signature, which cryptographically ties a document to a signer and shows if the document changes afterwards. Contracts, tax filings and government forms may require the latter or a wet signature. Check what the recipient accepts.
