Practical sequence

A privacy-aware people-document handoff

  1. Confirm the lawful purpose, access level, retention rule, and intended recipient before opening a candidate or employee file.
  2. Make only the changes required for the task. Remove unneeded pages or image metadata rather than copying more personal data into a new packet.
  3. Use approved language and obtain the right authority before filling or signing a form. FileGizmo does not validate consent or employment policy.
  4. Review the output, deliver it through your organization’s approved channel, and remove local working copies when the retention rule requires it.

Keep human responsibility in the workflow

  • These tools do not rank applicants, infer suitability, verify identity, or make an employment decision. A qualified human remains responsible for the process.
  • Removing metadata does not anonymize visible faces, names, backgrounds, badges, or document content. Review what a person can see as well as hidden fields.
  • Local processing prevents a FileGizmo server copy, but downloaded files still follow your device, email, drive, and HR-system security controls.

Questions before you begin

Does FileGizmo build candidate profiles?

No. FileGizmo has no applicant account, candidate database, analytics tracker, or remote file processor. Ordinary tools work with the file in the current browser session.

Does removing EXIF make a photo anonymous?

No. It removes supported embedded metadata from the output copy. A face, badge, room, screen, filename, or other visible detail may still identify a person.

Can FileGizmo sign an offer on someone else’s behalf?

The tool can place a supplied signature or typed mark, but it cannot establish authority or consent. Only sign when your organization and the signer have authorized the action.

What happens to an HR file after download?

FileGizmo does not receive it. The downloaded copy remains wherever the browser or operating system saved it, so your organization’s device, sharing, access, and retention policies still apply.
